Office Move Checklist

There is a lot of work to do if you plan to relocate the entire office. You’ll have to stick to the plan if you’re willing to do so. That’s why we made a checklist on how to move not only employees but expensive equipment across the state or the city. The planning maybe takes much more time than the move itself, because you’ll have not only to think about how to move the objects from point A to point B but also set up insurance, internet, and utilities once you get here. A lot of stuff you need to keep in mind, but using the services of a moving company will help you to cross out of list some things. Finding the best movers in your area is an all-in-one solution that will remove the hustle of setting up everything on your own, which will save you time and money.

Business moving checklist

All those questions should be resolved at least six months before you move. First, you’ll have to think about the logistics and add them to your “planning an office move” checklist.

  • - A current lease should be reviewed. Who is responsible if your equipment will go missing during the move? Who’s in charge of property damage now?

  • - Collect the quotes from moving companies. See what can you afford.

  • - Moving the budget is a must-have in this situation. It will save you from overspending. Who will pack the things up - employees or the moving company? How many people will load&unload stuff from the trucks you’re planning to hire? You’ll have to think about it beforehand.

  • - Think about who is going to be involved in the move. Upper management or some employees- do they take part in this process?

Three months before the move? It’s time to:

  • - Tell your current landlord that you’re relocating a business and have the desire to terminate your lease.

  • - Find a moving company and make a reservation for your move.

  • - Make a moving plan. It should include what employees are going to move with you, give tasks to every individual involved in the move, and create deadlines. It’s important to remind your employees about upcoming relocation several months before so they can prepare themselves and know that they are assigned to perform some tasks before the move.

  • - You should also notify your partners, affiliates, suppliers, cleaning services, and whoever else is important to make sure that the working process won’t stop once you’ll finish your move.

  • - If you have specialized equipment that needs to be disassembled in some special way or you’re dealing with moving equipment consisting of super-hazardous elements which can poison/set on fire the area, see if you need professional help to disassemble those pieces and deliver them safely. Contact the professionals before the making office  moving checklist . Also, if you need to buy some heavy machinery that requires several months to deliver, it’s time to order it now.

  • - If you want to make your company’s interior comfy and attractive to customers and employees you should contact an interior designer before you move. They will help you with decorations and landscape arrangements.

  • - Plan the arrangement of the entire building. Think about where you’re going to put equipment, offices, reception, furniture, and all the small details like power sockets. That’s how you’ll avoid confusion after the move and spend time thinking about where to put things. Maybe, you’ll have to rent a storage space nearby to store the archived files because the new building is too small. Don’t forget that you’ll definitely need a phone and internet connection. Also, talk to the IT team about whether they need extra help to move their computer and other IT things, or if they can do it on their own.

  • - Keys and passes is not a thing you should arrange after the move. Your employees are going to need it right on the first day at work at a new place.

  • - If you don’t want your employees to come back working with the same crinkly chairs and thousand times repaired tables, you might want to buy new furniture suitable to the interior of a new place.

  • - If you have business insurance you can’t take with you to the new place, it’s time to look for new options.

One month is left before commercial moving? You’ll probably have to:

  • - Get packing supplies. If your employees pack their things on their own, you’ll have to make sure that they get boxes, tape, and all the needed materials for the move.

  • - Tag and label each piece you will move, so if they go missing you’ll not forget about the incident. Also, make sure that you take pictures of labeled items before the move, so if the moving company breaks them or they simply disappear you can go through a claims process.

  • - Prepare and send a notification to your clients that you’re changing the address so they can reach you. Update all your company’s listings, like subscriptions, websites, business accounts, and so on.

One week before the moving buisness to a new location you probably should start adding to your checklist:

  • - Get keys and access cards for your employees.

  • - Set up the phone and internet connection, as well as the computer and other IT things set up. You’ll have to finally figure this question out: who’s going to disassemble and assemble computers at a new place? If the IT team confirms that they need extra help, you should probably call the professionals to order such services for the future.

  • - Clean the office, and get rid of old and broken items. You don’t want to pay double for delivering old garbage to a new place, especially if you don’t use it anymore.

  • - Ask your IT team to back up all the data. If something gets broken during the trip, you’ll be sure that all needed information is stored on the Cloud or any other medium.

  • - Inspect the new place to make sure that the building is ready for work. If some lights don’t work or you found a hole in the wall, it’s time to fix it.

  • - Make sure that you got enough packing materials. If you have more than you need then get rid of them because you don’t want to trash around the area by throwing out some unused wraps.

The day before the move is perfect for adding to your company moving checklist:

  • - Getting everything in the boxes, labeling them, and preparing for the loading.

  • - Create an inventory list that includes not only items you’re going to move, but also employee ID passes, and so on. If you want to dispose of them, make sure that they are deactivated properly.

  • - On a moving day, you’ll have to think about whether everything is going according to plan. See if everything is installed properly and don’t forget to check the old place. Maybe you missed a couple of items there, and they cost money. Plug in your phone, Internet, and TV cable, and check out how IT systems are doing. See if all the machinery, equipment and furniture are delivered on time and nothing is broken. Also, check some basic things such as the lights and water, if they don’t work, you should probably call your utility company.

  • - Check if your old lease is terminated, all the clients and business partners know where to find you. If you do the moving on your own check if your employees removed the tags and labels from the furniture and the equipment and if there are no unknown boxes stored in your office. The last thing you should do right after the move is double-checking. Test all the equipment, phones, computers, and Internet connection, so the business can go back as fast as it can.

You can actually minimize the hustle by choosing the services of Finch Moving. You’ll definitely need transition planning, box packing, and furniture arrangement if you want to save the time of your team.
